The key to any successful party is organization - and lots of it. Following a time line can help you get organized, and minimize
any last minute disasters.
4 Weeks in Advance
- Create your guest list. Consider your guests. Knowing what their likes and dislikes are will help you when it comes to
planning the menu.
- Determine your budget - and then make sure you stick to it!
- Decide if you will have a bar. If so, will you offer a full bar, or wine and beer only? What alcohol-free drinks will you offer?
- If you plan to have a bar, hire a caterer/bartender (if budget permits). Ask them what their policies are on responsible
alcohol service. Ask if they have their Smart Serve certificate. Smart Serve is a training program, which gives beverage
servers the information they need to understand and implement the skills of responsible alcohol service
3 Weeks in Advance
- Determine a theme (if you're going to have one) and/or decorations.
- Mail invitations/Call guests.
2 Weeks in Advance
- Check your inventory (plates, cutlery, glasses etc.).
- Plan your menu. Identify those items that can be made in advance. Select hot and cold items as well as some foods that
don't require any special temperature – like baked goods and snack mixes. Avoid foods that require a lot of last minute fussing.
- Try to plan foods that are in season and readily available so you won't have to spend valuable time going from store to store looking
for a specialty item.
1 Week in Advance
- Make a list of all the food and supplies you'll need. Include a separate list of items you'll need to purchase specifically for
the event.
- Confirm the number of guests.
- Choose a designated driver/make a list of local taxi services.
3-4 Days in Advance
- Shop for all food items.
- Shop for all other supplies.
1- Day in Advance
- Prepare as many recipes in advance as possible.
- Plan seating/food/drink areas. Ensure a good traffic flow by moving furniture back if necessary.
- Stock the bar, if you choose to have one.
Day of the Party
- Pick up any decorations (i.e. balloons, flowers) you need.
- Buy ice.
- Make any last minute food items.
- Plan everything for one hour ahead of time. That way you just might have time to sit down for a few minutes before the party begins.
Enjoy yourself! The best parties are those hosted by happy, relaxed people.
